Position Summary: The Executive Office Assistant is a multi-functional support role within the front office area. The primary focus will be assisting the General Manager, but the incumbent will also provide advanced administrative support for executive and management level positions. Under minimal supervision, responsible for continuous use of technical and business vocabulary and a detailed knowledge of organization's operations, organizational procedures, and personnel. Within established guidelines, makes independent decisions regarding planning, organizing, and scheduling work. The successful applicant will have a high level of professionalism, the ability to treat confidential information with the utmost sensitivity, be a strong communicator, a team player and able to maintain successful relationships internally with directors, managers, and team members as well as externally.

Key Accountabilities:
    •Reception and administrative duties •Office duties as required including photocopying, scanning, filing, and ordering and maintaining supplies. Prepare correspondence, invoices, maintain various databases and schedules, distribute mail, and assist with projects as assigned by the General Manager •Arrange meetings, coordinate meeting room, equipment, and food arrangements. •Ability to transcribe meeting minutes and preparation of meeting agendas •Gather necessary data and make distributions for meetings. •Expert in Word, Excel, Power Point and Outlook and demonstrate the ability to communicate effectively and professionally with guests and internal departments. •Compose correspondence, provide analysis and prepare reports for the executive and management team •Ensure submitted correspondence is prepared efficiently, timely, and edited for correct grammar, punctuation, and clear content. •Must have the ability to work in a fast paced environment and balance multiple priorities •Screen telephone calls and/or visitors. •Resolve problems and make administrative decisions when necessary. •Assists the executive and management team with their travel schedules & arrangements as needed. •Ability to assist in budget process. •Assisting with preparation of materials such as announcements, event invitations, and other communications - often on demand and under tight deadlines •Coordination of office allocation/moves •Active role in processing donation and sponsorship requests •Perform simple accounting activities. •Inform housekeeping or maintenance staff when staff report particular problems. •Other duties as assigned

Education and Qualification Requirements:
    •Completed formal education in Office Administration and/or possess a minimum of 3-5 years' experience in an administrative role •Must be professional and possess a high level of confidentiality •Must be proficient (at least 5 years experience) in Microsoft Word, Excel, PowerPoint and Outlook. •Must be competent at building and merging Excel spreadsheets and workbooks. •Excellent communication (written & verbal) and interpersonal skills with the ability to listen effectively, respond appropriately, and maintain a mutual comfort level while relating to a diverse group of individuals •Strong ability to manage multiple internal clients and remain productive within a time-sensitive and fast-paced environment •Proven problem-solving skills with the ability to visualize and deliver creative solutions •Must be very organized, able to multi-task and able to effectively manage time •Must be able to handle the stress of quick response using good judgment and making decisions •Consistently meeting expectations and dedicated to providing quality service •Must be fluent in English (verbal and written) •Bilingual in French and/or another language considered an asset •Experience in hospitality would be considered an asset

Work Environment Considerations:
    •Work within a 24/7 operation with ability to work flexible hours when required (days, evening, nights, weekends and holidays) •The administrative coordinator works inside the Casino Administrative Front Office Area •Must be able to work independently and with minimal supervision •Willing to submit to a criminal record check with results acceptable to our organization, standards and position, and/or obtain and maintain an NBGCB license registration •Must have employment eligibility in Canada •Must be 19 years of age or older
